Background

The client recently bought a 30-year-established business and inherited its admin systems.

Consultation

The AT ‘quick health-check’ revealed several areas for improvement: CRM, marketing, data analysis and reporting. We agreed CRM to be the immediate priority – the other requirements would be delivered in the next project, once the CRM tools are firmly embedded.

The CRM system should:

  2. – Be accessible to multiple users,

Background

The client is a well-established local recruitment agency.

Consultation

The AT ‘quick health-check’ questions confirmed that understanding and clearly reporting KPIs (Key Performance Indicators) was key to the growth of the business. Everyone was too busy with their day jobs to pull this system together. It also became apparent that the KPIs themselves required clarification.

The KPIs should be:

Training system

Client: FMCG wholesale supplier

Pyramid Training System

“We need to improve customer service levels, reduce staff turnover, and re-engage our people with the business.”

Background

The client, a well-established business in a niche market, had inter-departmental issues and a disconnect between regional offices.

Consultation

An investigative exercise revealed a degree of ‘grit’ between departments. This seemed to be caused by poor training, knowledge, and admin processes, and a lack of incentive. We agreed to develop a skills based, progressive training system linked to remuneration: the 4-level Pyramid Training System.

The system must:

  1. – Have a clear, structure,
  2. – Be communicated in simple English
  3. – Provide all materials required by students and trainers.

“Key processes must be clearly documented so that stakeholders are 100% clear on what, how and when things happen.”

Background

The client is a well-established food producer and home-delivery supplier, distributing produce nationally via a network of franchisees.

Consultation

Our discussion revealed that the processes for renewing contracts and recruiting franchisees had become unclear. This led to errors, duplication and time-wasting, and lack of accountability of key stake-holders. There was a risk of falling foul of the franchising governing body’s code of ethics. Commercially, the ROI (return on investment) of recruitment marketing channels was unknown. We designed and documented Standard Operating Processes (SOPs).

The SOPs should be:

  1. Use-friendly, editable, simple to follow
  2. Chronological
  3. Clearly annotated

Project Management

Project management

“We need a dedicated project manager with an eye for detail, and the drive to deliver against a tight deadline.”

Background

The client, a well-established franchised business in a niche market, required this project to be delivered On Time, In Full, In Spec and In Budget. The re-brand, a high-profile project to franchisees, is considered a ‘must-have’ win.

Consultation

It became apparent that the project was cross-functional, with numerous direct and indirect stakeholders. The project scope and deliverables were unclear, and service level agreements with suppliers were not well documented. In other words, the project wasn’t gaining the traction it needed to be delivered on time.

Project management must:

  1. Deliver against a tight timeline.
  2. Deliver within (or under) budget.
  3. Cover print, digital and physical (vehicles, clothing, show equipment etc).
  4. Consistently communicate to stakeholders.
  5. Manage suppliers to Service Level Agreements.

Static graphic design

Client: Wildlife conservation group
Use: Educational talks
The Circle of Life

“We asked AdminToolkits to develop a static graphic to be on the screen before a Wildlife Conservation presentation .”

Background

The client gives conservation talks to interest groups and schools. They use a still graphic to project on-screen as a ‘thought-provoker’ whilst the audience congregates.

Consultation

Our consultation revealed that the original graphic didn’t render clearly on a big screen and was too ‘wordy’. AdminToolkits recreated it as pictured above.

The graphic should be:

  1. – Usable across print and digital platforms.
  2. – Of sufficient resolution to  project clearly on a big screen.

It should portray this message:

We, human beings, are not ‘above’ other plants and animals. Or we shouldn’t be. We should be working together as one big ‘circle of life’. An ecosystem in harmony.
